Matters arising

CE09/12 – New Cemetery Plan – The Assistant Clerk showed Members the plans of the Children’s area, and other areas for consecration. A discussion was held regarding the sizes of the plots. Members were advised to consider the size of older/teenage children.

Resolved: To extend the children’s area to come in line with the new Memorial Garden. To establish plot sizes to incorporate larger plots for older children. To request the architect to redefine plans for the area. Once the plans have been agreed to proceed with procedures for consecration. To send an initial enquiry to the Bishop of Lewes.

Report of Cemetery Superintendent

The following statistics were reported by Mrs Banks for the period: - 1 st June- 14 th September 2009.

Total entries recorded - 1 Parishioners 1, Non-Parishioners 1 of which were consecrated.

Of these: Re-opened 1, New graves 1  

1 New Grave, 1 Pre purchased.

 

Garden of Remembrance 3 interments, 1 non parishioner 1 pre- purchased, 1 re-open

 

Total income to 14 th September 2009 is £13,246

 

Cllr Shing left the meeting at 7.55pm

Grave digging proposed new soil box and grave set

The Assistant Clerk showed Members drawings and cost of the Soil Box and Grave Set.

Resolved: To proceed and purchase a Soil Box. To request from contractors a copy of manual handling procedures. To purchase new grave set.

New Garden of Remembrance- revision of scale of fees, rules and press release

The Assistant Clerk showed Members the recommended fees advised by the Clerk, the fees are in line with the other fees for burials and cremations.

Resolved: To accept the recommended fees of £300 for parishioners and £900 for non parishioners. To grant exclusive rights for the term of 75 years. To amend the interment forms to incorporate the new Garden of Remembrance. To contact Funeral Directors to advise them of new costs and raise awareness. To proceed with a press release submitting a draft copy to Members of the Cemetery Committee contactable via email, for comments.

General maintenance – graves, fencing and trees

The Assistant Clerk advised that some maintenance to the hedge needed to be undertaken and showed Members a quote for the work needed to be done.

Resolved: To proceed with the necessary maintenance and agreed to the costs outlined in the quote. For the Assistant Clerk to contact the contractor.

 

The Assistant Clerk advised Members that she and the Cemetery Superintendent had undertaken a cemetery inspection. All those in breach of the rules have been written to with a request for any alterations to graves to be completed by the 10 th November when the next cemetery inspection is due to be carried out. Those who have not made the alterations to graves to keep in line with cemetery rules and regulations were advised that the work needed will be undertaken by the contractor.

Moving of the soil box – request from contractor method statement, risk assessment and manual handling procedures.

a) Row referencing

b) Removal of slate and replacing with pea shingle in the Garden of Remembrance.

c) Moving the boarding at the side of the cemetery office to the rear.

d) Updating current cemetery booklet.

e) Memorial trees – exclusive rights, and revision of fees
